This is a proposal for how the back office could work. It is not connected to live data.

Catalogue figures are measured from a harvest of the live site. People, orders and campaigns are invented.

Read only

You are browsing as a signed-out visitor, so nothing on these screens will save. Publishing, generating and importing are all refused.

Everyone you have met

Not only the people who paid. Free downloaders, newsletter readers, school enquiries and lapsed members, in one place for the first time.

The thing to understand

Your customer information is in three places, and none of them know about each other

Which means you cannot answer a simple question like “who downloaded my fractions pack but has not joined yet?” Those are the people most likely to pay you, and today there is no way to find them.

Your website

28

accounts, downloads, memberships

Knows what they downloaded. Cannot send an email.

MailerLite

Can send an email. Has no idea what they downloaded.

Your inbox

school quote enquiries

Not a system at all. Nothing reminds you to reply.

18 of the 34 people below exist in only one of those three places, including 2 schools that live nowhere but an email thread. And 6 people took free work from you under the old download flow and never reached your list at all, so the September email cannot find them. Joining these three up is the change that pays for itself.

Now working

The free download finally introduces people to you

94 sign-ups in the last seven days · 57 of them ticked the Friday email · 31 skipped the password

One panel on the resource page, no redirect and no pricing page. The address, the year group they told you, and the strand of the resource they took all land together, which is the combination that makes an email six weeks later worth opening. The newsletter box is not pre-ticked, so the 60 in a hundred who tick it genuinely chose to.

The 4 who did not tick the box are still yours. They have an account, you know their year group, and you can write to them about the thing they downloaded. What you cannot do is add them to the weekly newsletter, and that is the correct answer, not a gap to close.

The free download is the introduction. Someone who takes a Year 2 worksheet in March has told you their year group and their term. That now goes onto your list with the year group attached, so the August email writes itself and goes to the right people.

School enquiries deserve better than an inbox. Every quote request here would sit on the schools screen with a date, a reply and a next step, so a school that asked in July is not still waiting in September.
